Email Settings

How to configure an email client program to access your Clearwave.ca email address.

Before we get started…..


  • Note: if your email address is of a different domain (ie: not clearwave.ca but mydomain.com, you cannot use our outgoing email server. Please call tech support at 780 701 3401 for assistance. Solutions are available.


  • Definitions and terms you will need to be familiar with:

    • Program – something that when you click on an icon on your computer desktop or start menu does something like start your email or your web browser

    • Email client – the program on your computer that allows you to send and receive email

    • Email – electronic mail (believe me, I list these here because I have had people ask what that is….. and the reason for step 4 above)

    • Mail server – an electronic version of a real life post office that sends your outgoing mail and receives your incoming mail and puts it into your mailbox

    • Mailbox – just that…your mailbox

    • POP3 – stands for Post Office Protocol version 3 – handles your incoming email). POP3 email is TEMPORARILY held at the post office until you come pick it up (by using your email client program to retrieve your email from the post office/mail server).

    • SMTP – Simple Mail Transport Protocol – handles sending your email

    • SPAM – Stop Pornography and Abusive Marketing email. Most SPAM email that you receive is not even from a real recipient so do not respond to it. It’s purpose is to bother you.

    • Webmail – is a web-based service (that simply means you use a web browser like Internet Explorer, Safari or Firefox to access it) that allows you to look at your email while it is still at the post office/mail server. Most webmail services allow you to send and receive mail, store contacts, and reset your email password. Webmail was designed to allow access to your email account when you are not in front of your regular computer where the regular email client program resides, which is perfect when you are at work or on vacation.

    • Webclient – a web based email client (rather than using Windows Mail, Outlook Express)

    • Whitelist – an approved senders list - people you trust and will accept email from

    • Blacklist – an un-approved senders list - people you do NOT trust and will NOT accept email from



    Email can be retrieved in two ways:

    • by use of an email client program like Outlook Express(Windows XP), Windows Mail (Vista), Windows Live Mail (Windows 7 - has to be downloaded from Microsoft), Microsoft Outlook 2003/7(MS Office), Mac mail (Mac ) Entourage (MAC), Thunderbird, Eudora or Incredimail, etc that will connect to the post office and retrieve your mail, or

    • a webmail program that goes directly to the post office to see what mail is waiting for you by using your web browser (Internet Explorer, Safari, Firefox, etc) but leaves the mail at the post office until your email client program downloads it (if you use one at all that is...)


    To retrieve your clearwave.ca mail by using an email client program you need to know the following:

    • Incoming mail server which is: incoming.clearwave.ca

    • Outgoing mail server which is: outgoing.clearwave.ca

    • Account name which is: your entire email address

    • Your account password: whatever your password is

    • Mail account type which is: POP3

    • We do not use secure authentication

    • Our outgoing server requires a username and password

    For how to enter this information consult the help menu of the email client program or open the program and go to TOOLS, ACCOUNTS and follow the instructions. This is valid for most email clients. If you are still having difficulty, please call our tech support at 780 701 3401 or read further below for configuration examples for most email client programs.

    To retrieve your email via webmail (a webpage that allows you to view your email directly on the mail server (post office) without downloading it to your computer) simply visit http://mailsvr.clearwave.ca from your web browser window and login with your email address and password.

    Outlook Express (Windows XP)

    Windows Mail (Windows Vista)

    Windows Live Mail (Windows 7, has to be downloaded from Microsoft at http://download.live.com/wlmail )

    Microsoft Outlook 2003 (Microsoft Office)

    Microsoft Outlook 2007 (Microsoft Office)

    MAC Mail



    Let’s begin:

    Outlook Express (Windows XP)

    • Open up your email client program (Outlook Express).

    • Select “Tools”, then in the drop down menu select “Accounts” and select “Mail” Accounts.

    • Next, select the first Clearwave account listed (might show as incoming.clearwave.ca) and double click it or click it once and select PROPERTIES to the right of it. A window titled “Some Account Properties” will open:

    • Select “Servers” tab

    • Incoming mail (POP3) server which is: incoming.clearwave.ca

    • Outgoing mail server which is: outgoing.clearwave.ca

    • Under Incoming Mail Server the Email username is: your entire email address

    • Your account password: whatever your password is

    • (if you don’t know your password, use the webmail service at http://webmail.clearwave.ca to log into your email account and change your password. Full instructions are further below.)

    • Below that, select the box “My server requires authentication” under Outgoing Mail Server

    • Select the “Settings”

    • Select the circle under Logon information that says “Use the same settings as my incoming server”

    • Select “OK” on this window, then “Ok” on the previous window, then “Close” to get back to your email client.

    • You will be brought back to the previous “Change Email Account” window. Click on “Finish”, and then close if there are no other email accounts to do. If there are other email accounts, start the process over for each additional account.



    Windows Mail (Windows Vista)

    • Open up your email client program (MS Outlook).

    • Select TOOLS, then in the drop down menu select ACCOUNTS.

    • Next, select the first Clearwave account listed (might show as incoming.clearwave.ca) and double click it or click it once and select PROPERTIES to the right of it. A window titled “Some Account Properties” will open:

    • Select “Servers” tab

    • Incoming mail (POP3) server which is: incoming.clearwave.ca

    • Outgoing mail server which is: outgoing.clearwave.ca

    Windows Live Mail (Windows 7)

    • Open up your email client program (Windows Live Mail).

    • Select TOOLS, then in the drop down menu select ACCOUNTS.

    • Next, select the first Clearwave account listed (might show as incoming.clearwave.ca) and double click it or click it once and select PROPERTIES to the right of it. A window titled “Some Account Properties” will open:

    • Select “Servers” tab

    • Incoming mail (POP3) server which is: incoming.clearwave.ca

    • Outgoing mail server which is: outgoing.clearwave.ca

    • Under Incoming Mail Server the Email username is: your entire email address

    • Your account password: whatever your password is

    • ( if you don’t know your password, use the webmail service at http://webmail.clearwave.ca to log into your email account and change your password. Full instructions are further below.)

    • Select the first circle for: “Log on using clear text authentication”

    • Below that, select the box “My server requires authentication” under Outgoing Mail Server

    • Check the box that says “My outgoing server (SMTP) requires authentication”

    • Select the “Settings”

    • Select the circle under Logon information that says “Use the same settings as my incoming server”

    • Select “OK” on this window, then “Ok” on the previous window, then “Close” to get back to your email client.

    • You will be brought back to the previous “Change Email Account” window. Click on “Finish”, and then close if there are no other email accounts to do. If there are other email accounts, start the process over for each additional account.



    Microsoft Outlook 2003

    • Open up your email client program (MS Outlook).

    • Select TOOLS, then in the drop down menu select EMAIL ACCOUNTS.

    • Next, select Add a new account if you are going to add one in or View or change existing e-mail accounts to make changes to the account configuration and select Next.

    • Next, select the first Clearwave account listed (might show as incoming.clearwave.ca) and double click it or click it once and select CHANGE above it. A window titled “Change Email account” will open:

    • The Email Accounts window will open.

    • Incoming mail server which is: incoming.clearwave.ca

    • Outgoing mail server which is: outgoing.clearwave.ca

    • Account name which is: your entire email address

    • Your account password: whatever your password is

    • ( if you don’t know your password, use the webmail service at http://webmail.clearwave.ca to log into your email account and change your password. Full instructions are further below.)

    • Then, select MORE SETTINGS on the bottom right. Another window opens called internet email settings.

      • Select the Outgoing Server tab and

      • check the box that says My outgoing server SMTP requires authentication,

      • and select the circle that says Use same settings as my incoming mail server.

      • Then click OK and you can close down the rest of the windows.



    Microsoft Outlook 2007

    • Open up your email client program (MS Outlook).

    • Select TOOLS, then in the drop down menu select ACCOUNT SETTINGS.

    • Next, select the first Clearwave account listed (might show as incoming.clearwave.ca) and double click it or click it once and select CHANGE above it. A window titled “Change Email account” will open:

    • Incoming mail server which is: incoming.clearwave.ca

    • Outgoing mail server which is: outgoing.clearwave.ca

    • Account name which is: your entire email address

    • Your account password: whatever your password is

    • ( if you don’t know your password, use the webmail service at http://webmail.clearwave.ca to log into your email account and change your password. Full instructions are further below.)

    • Then, select MORE SETTINGS on the bottom right.

    • Select “Outgoing Server” tab

    • Check the box that says “my outgoing server (SMTP) requires authentication”

    • Select the circle for “use same settings as my incoming mail server”

    • Select “OK”

    • You will be brought back to the previous “Change Email Account” window. Click on “FINISH”, and then close if there are no other email accounts to do. If there are other email accounts, start the process over for each additional account.



    MAC Mail (OS X)

    • Open up the MAC mail program by selecting the postage stamp on the dashboard (bottom of the screen)

    • On the Apple menu on the top of the screen select Mail and then Preferences in the drop down menu.

    • Select the Accounts tab (the @ symbol in blue) and then select Account information below that.

    • At the bottom of the window to the right of Outgoing Mail Server (SMTP) click on the down arrow and edit server list. A new window pops up , click on the Advanced tab.

    • Under Authentication, select “Password” from the drop down menu and enter in your username (entire email address) and your email account password.

    • Select “OK” , then close the Accounts window by selecting the red x on the top left. It will ask you to save changes , so select “Save” in blue. You are finished.



    Email Account Passwords – Changes and Recovery

    Our new email system allows you to change your email account password in two ways:

    • Forgotten password feature emails you your account password to your existing email address or a secondary one in the event you forgot your password.

    • You know your email password but want to change it

    In the event you want to change your email account password or you do not remember your email account password (not un-common so don’t feel bad), you can log into your webmail account at: http://webmail.clearwave.ca and change your password if you know the current password or have your password emailed to an alternate email account like gmail.com or hotmail.com or yahoo.ca.... etc.



    Forgotten Password Procedure:

    • Log into webmail http://webmail.clearwave.ca or by or clicking the “webmail” link on our website under Customer Area.

    • Select: Forgot Password

    • Enter your email address and the code listed on your active window (not the code shown here – it’s just an example) and don’t forget the space between the first 4 characters and the last 4.

    • Select SEND

    • Your “current” email account password has been sent to your email address.



    Change Password Procedure (you know your existing password):

    • Login to your webmail by using your web browser (internet Explorer, Mozilla Firefox, MAC Safari) by going to: http://webmail.clearwave.ca or clicking the “webmail” link on our website under Customer area.

    • Enter your email address and your email account password. You can select different options under Remember for the web client login next time.

    • Select Login

    • Once the webmail client opens up, go to TOOLS, then in the drop down menu select Accounts.

    • Enter your old password, then your new password twice and select okay. You can set an alternate email if you want your forgotten password to be sent to another email address. Your email account password has now been reset.
